Job Description:

SUU Biology seeks a qualified individual who will provide administrative support to the faculty and staff of the biology department and who will manage the financial transactions, records, and office functions of the department.


Duties and Responsibilities:

1. Use MS Office Suite skills to compose, format, proofread, revise, and produce a range of documents including correspondence, publications, memos, and reports.
2. Maintain all Biology Department Files & Activities:
a. Maintain all Biology budgets, including: tracking and management of departmental funds; requisitions and purchase orders; travel authorizations and reimbursements; and student payroll.
b. In charge of order tracking, and communicating the status of all orders and/or equipment with the chairs and faculty at every stage of the ordering process, and maintain, the files and office equipment for the Department.
c. Management of faculty grants, including but not limited to: ordering supplies; tracking student wages and processing faculty salaries; tracking overall grant budget; facilitating grant related travel; and communicating with the university grant office.
d. Process faculty travel requests and reimbursements.
e. Attend all departmental meetings, taking detailed notes that can be sent to individuals who cannot attend each meeting.
f. Work with Department Chair to plan various departmental events including study groups, final's week, extracurricular events, and other activities as needed.
g. Supervise and oversee reception activities for the Department while demonstrating a consistent positive attitude and rapport with University personnel and the public.
h. Prepare annual department and college reports.
i. Assist in student and graduate tracking.
j. Supervise Department scholarships.
k. Collect and organize faculty schedules, office hours, and syllabi each semester to ensure the department can easily locate faculty when needed.
l. Update, maintain, and disseminate office calling tree for emergency use.
m. Update and maintain biology department website.
3. Supervise student workers, including: advertising student employment opportunities, hiring & onboarding paperwork/processes, serving as a liaison between the faculty and Human Resources, and tracking and terminating student employees.
7. Schedule, advertise, and coordinate the administration of the Biology Exit Exam.
8. Other duties as assigned.


Education and Experience Requirements:

1. High School diploma or GED and some college coursework required; associates degree preferred.
2. Minimum of two years recent office experience; knowledge of business procedures, accounts receivable, and office management.
3. Working knowledge of or the ability to acquire a working knowledge of Banner, the University's student and financial management software.
4. Organizational ability to respond to multiple project requirements simultaneously and on a frequent basis.
5. Computer experience, including email and in-depth knowledge of MS Office, essential; good keyboarding skills.
6. Excellent interpersonal skills to deal with a diverse group of individuals.
7. Knowledge of grammar, punctuation, and spelling. Attention to detail that allows correction of errors in original copy.
8. Successful applicant will be able to demonstrate a history of dependability, reliability, organizational skills needed in maintaining a functional, professional, and manageable departmental office.
9. A successful applicant will be able to demonstrate a history of professionalism, and strong listening and communication skills.
