Job Description:

The EO Intake Coordinator and Case Manager assists individuals through the resolution processes established by the University's policies that prohibit discrimination, harassment, retaliation, and sexual misconduct (SUU Policies 5.27 and 5.60). This professional staff member reviews all incoming reports and serves as an initial and ongoing point of contact for individuals who participate in resolution processes. Key performance objectives include providing accurate, thorough, and objective information about a party's rights, rendering compassionate and appropriate support and resources, and explaining options for resolving the complaint/report through the University's formal or informal procedures.

This position may be eligible for remote work or flexible work arrangements under SUU Policy 8.3.1.


Duties and Responsibilities:

  1. Review reports submitted through the University's online reporting form or receive reports by phone, email, or in-person and document them within the University's case management database.
  2. Provide attentive and caring outreach, through informative and well-written communications, to individuals who have reportedly experienced discrimination, harassment, retaliation, or misconduct, and to those who have been accused of behavior that may violate policy; and provide status updates as the parties move through the resolution process.
  3. Offer and monitor supportive measures to party's as appropriate and coordinate with other University offices/departments to facilitate the implementation of these measures.
  4. Enter case notes, relevant documents and/or artifacts, and all communications with parties and witnesses in the University's case management system, Maxient.
  5. Develop accurate, thorough, accessible, and attractive digital and print materials to inform and simplify information about accessing resources and participating in the resolution process; function as the Office's web manager and content developer.
  6. Assist investigators with preparing written investigative reports, interview transcripts, and evidentiary exhibits.
  7. Serve as a primary point of contact for parties and their advisors during the scheduling of hearings following an investigation.
  8. Assist the Director in scheduling and preparing for live hearings following an investigation.
  9. Review and proofread official correspondence required policy, policy revisions, and public-facing reports.

Education and Experience Requirements:

The search committee will conduct a holistic assessment of applicant materials and, if extended, interview performance to identify the most qualified applicant. No single qualification identified below is considered dispositive in determining which applicant may be most qualified for this position.

  1. The selection committee will consider a combination of education and prior work experience; however, individuals with a bachelor's degree (B.A., B.S.) in a relevant field (e.g., education, social work, legal studies, psychology, etc.) with two or more (2+) years of related work experience may have a competitive advantage. Applicants with advanced/graduate degrees in relevant fields and four or more years (4+) of prior, related work experience may be even more competitive.
  2. Ability to warmly and professionally receive visitors to the office and provide them with relevant and accurate information when they have questions. Prior work experience demonstrating this ability is required.
  3. Exceptional interpersonal skills and the ability to work collaboratively and interact effectively with a diverse array of faculty, staff, students, community members, and other third parties. Prior work experience demonstrating these skills is required.
  4. Work experience in a role that requires consistent, careful, and confidential documentation is also required.
  5. The ability to work with individuals who are experiencing high levels of stress and responding to them with composure and compassion is required.
  6. Exceptional attention to detail in taking notes, scheduling meetings, and drafting correspondence is required.
  7. Prior work experience that demonstrates an applicant's ability or disposition to reserve judgment and adopt a neutral posture towards people who are on opposing sides of an accusation is required.
  8. Prior work experience assisting individuals participating in a Title IX grievance process, or a civil rights investigation pursuant to allegations of harassment or discrimination is preferred. Related experience may be substituted, for example assisting individuals through civil or criminal litigation might provide a similar experience or supporting students through school disciplinary proceedings or mental health crises.
  9. Familiarity with institutions of higher education and applicable regulations such as Title IX, the Clery Act, and Title VII is preferred.
  10. Prior work experience working in a fast-paced, high-stress, detail-oriented work environment is preferred. Though these characteristics are not always present, there are periods of time or situations that do arise creating a need to work under these conditions or circumstances.
