Job Description:

The Administrative Assistant / Advisor is responsible for having a comprehensive understanding of the program's operations and the student population, including: their needs, strengths, weaknesses, and achievements. Through developing meaningful relationships with students, this position serves a critical role in the retention and completion of honors students, and increasing the number of students supported through the honors program. This role provides administrative assistance to the Honors program at Southern Utah University, represents the program to the campus, prospective students, and community. The Admin Asst. / Advisor also serves as the main point of contact for the program and is responsible for the organization and communication necessary for the success of the program.

Duties and Responsibilities:

  1. Advise and assist students in the planning of their honors academic education (including, but not limited to: Assist with creating degree-specific honors academic plans, meeting with all Freshmen-Junior honors students before registration, communicating honors course updates to students, and communicating with other academic advisors in relation to honors requirements and updates).
  2. Update, maintain, and have a detailed understanding of honors student records through conducting regular audits for honors students' progress toward graduation.
  3. Assist the Director with office tasks (managing Honors Program email accounts, informing Director of purchasing needs, creating and distributing surveys, generating and distributing announcements and advertisements, producing program reports).
  4. With assistance from the Director, manage the student office workers and attend regular meetings with the office staff.
  5. Assist with data collection and reports for the honors program.
  6. Attend and provide support at honors program functions (will include some evenings and weekends).
  7. Manage the Honors program email account, responding to students, parents, faculty, and staff in a timely and professional manner.
  8. Meet with prospective Honors students and their parents.
  9. Other office and clerical duties as assigned.

Education and Experience Requirements:

  1. Bachelor's degree preferred.
  2. At least 3 years of experience working in a professional office.
  3. At least 3 years of customer service experience.
  4. Ability to use a variety of computer software programs including Microsoft Word, Excel, Powerpoint, all Adobe applications, and database management programs.
  5. Excellent customer service and communication skills.
  6. Exceptional organizational and time-management skills.
  7. Knowledge of professional and organizational communication, higher education, student affairs, business management, graphic design, and/or program planning/evaluation preferred.
  8. Demonstrate ability to build rapport and develop relationships.
  9. Excellent oral and written communication skills.
  10. Understanding of Honors Program policies and procedures.
